Privacy Notice

This notice explains what personal data EGTN DFS Visa Assistance Center collects, why we collect it, who we share it with, and the rights you hold over it. It is maintained by us and describes our own practices — it is not an independent certification or audit.

Your documents travel over TLS-encrypted connections and are stored encrypted by our hosting provider.

Personal data is processed in accordance with the Philippine Data Privacy Act of 2012.

1. WHO WE ARE

EGTN DFS Visa Assistance Center ("we," "us," "our") is a visa facilitation service based in Makati City, Philippines. We act as the Personal Information Controller for the data described in this notice. We are not an embassy or consulate and we do not decide visa outcomes.

2. WHAT PERSONAL DATA WE COLLECT

Depending on the service you use, we may collect: • Identity data — full name, date and place of birth, sex, civil status, nationality • Contact data — email address, mobile number, home address • Travel documents — passport bio-page details and images, previous visas, travel history • Application data — purpose of trip, employment or study details, income and financial supporting documents, family and dependant information • Appointment data — chosen consultation or biometrics schedule • Payment data — transaction references and amounts (card and e-wallet details are entered directly with our payment processor and never stored on our systems) • Account data — login email, hashed password, role, and activity within the applicant or partner portal • Technical data — IP address, device and browser information, and basic usage logs

3. WHY WE PROCESS YOUR DATA

• To assess your visa eligibility and prepare your application • To submit applications and supporting documents to the relevant embassy, consulate or accredited centre • To schedule biometrics and consultation appointments • To coordinate passport release and courier delivery • To process payments and issue receipts • To send transactional notices by email and SMS, such as verification codes, appointment confirmations, status updates and expiry reminders • To operate and secure our portals, including fraud and abuse prevention • To comply with legal, tax and regulatory obligations • To send marketing updates, only where you have given consent

4. LAWFUL BASIS

We rely on the following bases under the Data Privacy Act of 2012 (RA 10173): • Contract — processing needed to deliver the service you requested • Consent — for sensitive personal information, passport and document uploads, and marketing messages • Legal obligation — record-keeping, tax and lawful requests from authorities • Legitimate interests — securing our systems and preventing fraud, balanced against your rights Where consent is the basis, you may withdraw it at any time. Withdrawal may mean we can no longer continue your application.

5. SENSITIVE PERSONAL INFORMATION

Visa applications necessarily involve sensitive personal information, including government-issued identifiers, civil status and, in some cases, health or financial records. We process this information only with your consent and only for the purposes stated in this notice. Document images you upload are used solely to prepare, verify and submit your application.

6. HOW WE PROTECT YOUR DATA

• All traffic between your browser and our platform is encrypted in transit using TLS • Data and uploaded documents are encrypted at rest by our hosting provider • Access is restricted by role-based and row-level access controls, so records are visible only to the applicant and the authorized personnel handling that application • Portal accounts require email verification, and staff and partner portals are separated by role • Automated bot protection is applied to public forms • Outbound email and SMS activity is logged for audit purposes No system can be guaranteed absolutely secure. We do not claim certification under any information-security standard.

7. WHO WE SHARE DATA WITH

We do not sell your personal data. We share it only as needed to deliver our service: • Embassies, consulates and accredited visa application centres relevant to your application • Payment processors, to collect fees • Email and SMS delivery providers, to send transactional and consented marketing messages • Cloud hosting and database providers, which store the platform and its data • Document-verification tooling, used to read passport data pages and check image quality • Travel suppliers such as airlines, hotel and accommodation platforms, and activity providers, only when you request a booking • Courier partners, for passport delivery • Corporate partners or employers, where your application was submitted through a partner account • Government authorities, professional advisers, or auditors where legally required Some of these providers process data outside the Philippines. Where that happens, we require contractual safeguards consistent with RA 10173.

8. RETENTION AND DELETION

• Application records and supporting documents are retained for the duration of your application and afterwards only as long as needed for legal, tax and dispute-resolution purposes • Original physical documents are returned to you on completion or cancellation • Payment and transaction records are kept for the period required by Philippine tax and accounting rules • Marketing contact details are kept until you unsubscribe • Data that is no longer needed is deleted or anonymised You may request earlier deletion of documents that are no longer required for an active application.

9. YOUR RIGHTS

Under RA 10173 you have the right to: • Be informed about how your data is processed • Access the personal data we hold about you • Have inaccurate or outdated data corrected • Object to processing, including marketing • Request erasure or blocking where processing is unlawful, withdrawn or no longer necessary • Receive a copy of your data in a portable format • Be notified of a data breach affecting your personal data • Lodge a complaint with the National Privacy Commission • Claim damages for a violation of your rights To exercise any of these rights, email query@visassistancenter.com with the subject line "Data Privacy Request." We will acknowledge your request and respond within a reasonable period, and we may ask you to verify your identity first.

10. MARKETING AND UNSUBSCRIBING

Marketing emails and SMS are sent only to contacts who have opted in. Every marketing email includes an unsubscribe link, and you may also reply to any SMS or email us to opt out. Unsubscribing does not stop transactional messages about an active application.

11. COOKIES AND SIMILAR TECHNOLOGIES

We use cookies and local browser storage that are necessary for the site to function, including keeping you signed in, maintaining your session and remembering form progress. We also use basic aggregate visit counting. We do not use cookies to build advertising profiles. You can clear or block cookies in your browser, though signing in and submitting applications may stop working.

12. CHILDREN'S DATA

We process the data of minors only as part of a family or dependant application submitted by a parent or legal guardian. We do not knowingly collect data directly from children.

13. AUTOMATED ASSESSMENTS

Our free assessment produces an indicative approval-likelihood score based on the answers you provide. The score is guidance only. It is not a decision, not a prediction of embassy outcome, and it is always reviewed by a human consultant before any advice is given.

14. DATA BREACHES

If a security incident affects your personal data in a way that is likely to give rise to a real risk of serious harm, we will notify you and the National Privacy Commission in accordance with RA 10173 and its implementing rules.

15. CHANGES TO THIS NOTICE

We may update this notice as our services or legal obligations change. The revised version will be posted on this page with a new effective date. Material changes affecting how we use your data will be communicated to active applicants.
